Communication Tools Overview in Docnote

Learn about the three communication tools available in Docnote — internal messaging, patient messaging, and text messaging — and how to use each one.

Docnote offers three built-in communication tools to help your office collaborate internally and stay connected with patients. All three tools are accessible directly within the request section of the platform.


1. Internal Messaging

Internal Messaging is designed for communication between office team members. It allows staff to collaborate on requests without leaving the platform.

  • Type your message in the Internal Messaging section of the request
  • Use @ to mention and assign a specific team member — they will automatically receive an email notification alerting them to the message and any action required
  • Ideal for coordinating internally on complex requests or delegating tasks between staff

💡 Good to know: Internal messages are only visible to office staff and will never be seen by the patient.


2. Patient Messaging

Patient Messaging allows your office to communicate directly with a patient regarding their request.

  • Type your message and select Send
  • The patient will receive an email notification with a link to view and respond to the message through their Docnote account
  • Patient responses will appear within the same request, keeping all communication in one place

3. Text Messaging

Text Messaging provides a quick way to notify patients directly on their mobile device.

  • Send a text message to the patient's mobile number on file
  • The patient will receive a text notification on their device
  • Patients can view the message but cannot respond via text — any replies must be sent through Patient Messaging in their Docnote account
⚠️ Please note: The text messaging function only works for patients who have a mobile device and a mobile number on file. Patients with a landline number will not receive text notifications.

 

💡 Tip: Use Internal Messaging for team coordination, Patient Messaging for detailed back-and-forth communication, and Text Messaging for quick notifications when a fast response is needed.
