How to Edit Your Office Details in Docnote

Learn how to update your office profile, configure your letterhead, set office hours, and manage internal office information in Docnote.

Your office profile in Docnote stores everything from your contact details and letterhead to your office hours and internal practice information. Here's a breakdown of everything you can manage from this section.

How to access Office Details:

Select Office Info from the left-hand menu to open your Office Profile.

⚠️ Important: The Save button is located at the top of the page. Make sure to select it after making any changes — if you navigate away without saving, all changes will be lost.


Office Profile

The Office Profile section contains your core office information that is visible to patients in their Docnote account:

  • Office address
  • Phone number
  • Fax number

Letterhead Configuration

This is where you configure your letterhead for documents and letters generated within Docnote and through any integrations. To set up your letterhead:

  • Letterhead Content — enter your letterhead content in the text field. This will be used for document generation and preview.
  • Letterhead Logo — upload your office logo to be displayed on your letterhead.
  • Select the Preview button at any time to see how your letterhead will appear on generated documents before saving.
💡 Good to know: Your letterhead, PCP signature, and MPN/licensing number must all be set up before you can use the autogenerated provider note feature when completing requests.

Primary Contact

The Primary Contact section allows you to designate who receives notifications — such as when a patient signs up or when a general notification is triggered that has not been assigned to a specific team member.


Additional Office Information

Scrolling further down you will find the Additional Office Information section. This information is not visible to patients and is used for internal purposes only. It includes details such as:

  • Which EMR your office uses
  • Size of your practice
  • Whether you are a physician or specialist
  • Whether your practice is part of a FIT or FHO

Office Hours

Your office hours are visible to patients in their Docnote account. This is where you can update your regular hours of operation.

This is also where you can temporarily close your office if you are away for an extended period. To do this:

  1. Scroll down to the Office Hours section
  2. Select the orange "Temporarily Close Office" button
  3. Enter a reason or the length of time the office will be closed — this message will be displayed to patients if they attempt to submit a request while the office is closed
💡 Good to know: Keeping your office hours and closure information up to date helps reduce patient frustration and unnecessary support inquiries while your office is unavailable.
